DELEGATES SHOULD REGISTER FOR NEXT TUESDAY’S MEETING & GET ZOOM ACCOUNT ASAP

Fellow HOD delegates,

Please note that to participate in this year’s House of Delegates (HOD) meetings you…

– Will need to sign up for a personal ‘Zoom’ account
– Will need to use a computer or a tablet
– Should take advantage of a Zoom test that will take place this Thursday, September 24
– Call 404.299.7700 if you are having any technical problems during the Zoom meetings

Your speaker and vice speaker will conduct the elections for any uncontested Medical Association of Georgia (MAG) offices for 2020-2021 during the opening session of the virtual HOD meeting that will take place at 6:30 p.m. next Tuesday, September 29.

In 2020, all delegates must individually register for a free ‘Zoom’ account to participate in the HOD meetings that will take place on September 29 and at 9 a.m. on Saturday, October 17.

We face some unique challenges having to conduct this year’s meetings on a virtual basis, so requiring delegates to register for a free Zoom account is the best way to safeguard the integrity of the process, as it will ensure that the individuals who are voting on any HOD business are credentialed delegates.

Also note that delegates must join the meetings with a computer or a tablet that has audio and speaker capabilities – and individual delegates must sign up for a free Zoom account and install the Zoom software on their device before next Tuesday’s meeting begins. Delegates are encouraged to participate in the HOD meetings using computers that have Google Chrome or latest version of the Internet Explorer Internet browsers.

Delegates will not be able to participate in this year’s HOD meetings using a phone.

We must have a quorum (i.e., 40 or more delegates) to conduct the business of the House – so it is essential for you to register for this event ASAP if you are a delegate.

In addition to conducting the elections on September 29, we will 1) review the HOD reports and resolutions process and timeline and 2) accept any policy consent calendar extractions and oversee the policy consent calendar voting process and 3) answer any questions that you might have.

Delegates will need to be prepared to offer any extractions from the ‘Policy Sunset & Reaffirmation Report’ (i.e., the “five-year policy review”) during this call, and they can click here to review this report before the meeting.

MAG members who are interested in running for office should contact Donna Glass at dglass@mag.org or 678.303.9251. The only requirement to run for a MAG office is that the candidate must be a MAG member for the past two years.

The HOD will elect MAG’s president-elect, speaker, vice speaker, and second vice president. The HOD will also elect two American Medical Association (AMA) delegates and three AMA alternate delegates. The balance of MAG’s Board of Directors will be elected at the county and district levels.

Any contested elections would take place during the virtual HOD meeting that will take place on October 17.     

The HOD Zoom meetings are limited to delegates. All others – including alternate delegates, CMS and specialty society executives, other MAG members, and approved guests – will be able to watch the proceedings on MAG's YouTube channel.

MAG will not use its app during this year’s HOD – so the relevant information will be posted here.

MAG staff will begin the Zoom meeting one hour before the meetings begin on September 29 and October 17 to answer any technical questions.

Finally, MAG will host a Zoom meeting from 6:30 p.m. to 7:30 p.m. this Thursday, September 24 to give delegates the opportunity to test their Zoom account and laptop/tablet and ask any questions. Click here to register for the HOD Zoom system test on September 24.
